Capacity Extension Section Supervisor PURPOSE OF POSITION The Administrative and Program Support Specialist assists in a variety of roles to extend the capacity of the Bureau of HIV, STI, and Hepatitis program staff.
The Specialist provides support in the form of planning, organizing, administrative support, and completing time-limited projects.
JOB DESCRIPTION SUMMARY The person in this position performs, organizes, and streamlines operational tasks.
They are responsible for handling logistical needs for multiple bureau activities related to event planning, creating communication materials, organizing and completing projects, and filling other needs as they arise.
They take immediate action when possible, and escalate when required.
ESSENTIAL DUTIES AND RESPONSIBILITIESTo be successful in this role, an individual must be able to perform each of the essential duties and responsibilities satisfactorily.

Become and remain familiar with the programs and services of the Bureau of HIV, STI, and Hepatitis.
Gain a working knowledge and ability to assist others in understanding both HHS and NuCara policies related to travel, meal allowances, reimbursement, and other operational policies.
Handle meeting and event logistics such as researching venues, making reservations, coordinating travel expenses and reimbursements, and procuring supplies, food, and other materials.
Provide office management support for the East Village office location including handling building and equipment maintenance requests, office supply orders, conference room set up and scheduling, key and parking pass assignments, mail, and ensuring safety regulations are followed and cleanliness of facilities is maintained.
Provide administrative support for management team members and other staff as requested.
May include drafting communications, scheduling meetings, ordering supplies, conducting research, tracking expenses, mailing materials, taking meeting minutes, maintaining contact lists, etc.
Assist with the development of assigned forms, reports, slide decks, spreadsheets, brochures, and factsheets.
Coordinate assigned projects such as needs assessments, engagement surveys, planning process logistics, office moves, purchasing and distributing incentives, etc.
Provide technical assistance to staff, meeting/conference participants, and other key stakeholders.
Attend select team/committee meetings to seek input, receive new assignments, and give status updates.
Utilize project management tool to track and communicate tasks, and to coordinate with other staff.
Recommend process improvements to improve operational efficiency.
Complete other projects and duties, as assigned.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
